Thank you for your message and supporting documents for establishing a Loan agreement with the Ministry of Culture of the Republic of Estonia, for engaging the services of Ms Liina Jänes in CLT/CEM for a period of one year.

The draft ToR has been revised with a few modifications.

To facilitate you in the process, please see hereunder a summary of steps/guidelines for processing this loan agreement, along with relevant standard templates attached.

Draft MOA/Loan Agreement – should be completed by your services and returned to HRM for review and clearance, before proceeding to signature phase.

Individual Loan Contract -  Can be completed (once the MOA has been signed), and returned to HRM for clearance prior to signature, along with the following information/supporting information:

Prior to signature of Individual Loan contract:

• * Copy of passport details (information page)

• * Copy of diploma (s)

• * CV

Prior to/upon signature of Individual loan contract and/or commencement of the assignment:

• * Medical Insurance coverage throughout the duration of  Loan assignment

• * Medical certificate of good health indicating that the trainee is fit to undertake the assignment (can be obtained from routine medical check-up)

• * Local address – (upon arrival in Paris)

To ensure timely visa processing, kindly note that your AO/sector will be required to make a request to PAX/Protocol to prepare a note verbale/supporting letter to facilitate the visa processing.

The additional documents (highlighted) should accompany this request.

• * Copy of passport

• * Copy of signed Individual Loan Contract

• * Local Address in Estonia

• * Address of French Embassy where visa will be applied for:

Upon arrival/onboarding,  

• * AO to ensure that the contractual details/information is recorded in IRIS and UNESDIR account created to enable the Expert to access the relevant services and systems during the assignment.

At the end of the assignment:  

• * AO records separation in IRIS
