Subject: Member States’ nominations for ‘Phase III’ AI Board sub-groups
Dear Sir or Madam,
Thank you very much to you and your colleagues for your continued contribution to the
successful work of the European Artificial Intelligence Board (‘AI Board’).
In accordance with the planning agreed at the meeting on 10 September 2024, the AI Office
would like to set-up of the ‘Phase III’ AI Board sub-groups foreseen for the second half of
2025.
Therefore, the AI Office kindly requests Member States to nominate, in writing to EU-
by 15 September, representatives for each of the following ‘Phase III’ sub-groups:
1. Standing sub-group for market surveillance authorities: In accordance with
Article 65(6) AI Act, this sub-group will be composed of market surveillance
authorities and act as the administrative cooperation group (ADCO) within the
meaning of Article 30 of Regulation (EU) 2019/1020. It should serve as a platform
for cooperation and exchange among market surveillance authorities about issues
related to market surveillance.
The AI Office requests the nomination of one technical-level representative from
the single point of contact among market surveillance authorities designated in
accordance with Article 70(1) AI Act and one substitute.
The AI Office recalls that, in accordance with Article 30 of Regulation (EU)
2019/1020, ADCO meetings are intended only for representatives of market
surveillance authorities and the Commission.

2. Standing sub-group for notifying authorities: In accordance with Article 65(6)
AI Act, this sub-group will be composed of notifying authorities. It should serve as
a platform for cooperation and exchange among notifying authorities about issues
related to notified bodies.
The AI Office requests the nomination of one technical-level representative and
one substitute from the notifying authority designated in accordance with Article
28(1), 70(1) AI Act.
Member States which have not yet completed the designation procedure are advised to
provisionally nominate representatives from the prospective national competent
authorities.
Please be informed that the first meeting of the sub-groups will be scheduled in early
autumn.
